Welcome to the MEEZANOX Smart School & Coaching ERP application and digital ecosystem ("App"). This Privacy Policy explains how MEEZANOX Enterprises ("we," "us," or "our") collects, uses, shares, and protects the personal information of our users, including School Administrators, Coaching Directors, Teachers, Parents, Students, and Transport Drivers. We are committed to ensuring the highest standards of data privacy, financial security, and operational transparency across all our platforms.
1. SCOPE OF SERVICES & ROLES
Our App provides a highly secure B2B (Business-to-Business) Software as a Service (SaaS) platform for Educational Institutions (Schools, Coaching Centers, and Tuition Academies). In this ecosystem:
The subscribing Educational Institution acts as the Data Fiduciary (Data Controller).
MEEZANOX acts strictly as the Data Processor.
User accounts, access roles, and permissions are exclusively managed, created, and granted by the respective Institution's Administration.
2. INFORMATION WE COLLECT
To provide a seamless experience across our multi-panel ecosystem, we collect specific data points based on user roles:
Students & Parents: Name, roll number, admission/batch details, fee payment records (Digital Khata), daily attendance, homework tracking, online quiz scores, leave requests, and academic mark-sheets.
Teachers & Staff: Name, staff ID, contact information, class/subject/batch assignments, attendance, HR & Payroll records, and leave applications.
Transport Drivers (Live Bus Tracking): Name, contact number, assigned route ID, and real-time geographic location coordinates.
Device & System Information: Non-personal technical analytics such as device OS version, app performance metrics, and crash logs (via Google Firebase) to maintain infrastructure stability.
3. EXPLICIT PERMISSION USAGE & BIOMETRIC PROTECTION
The App requests specific device permissions strictly for core operational functionalities:
Background Location (Driver Panel Only): We collect and process real-time location data in the background only when a designated Driver actively presses the "Start Trip" button. This data is strictly used to broadcast live school bus positions and SOS Emergency Alerts to authorized parents. Tracking terminates instantly when the driver ends the trip. Location data is never used for advertising or shared with third parties.
Biometric Authentication (Local Hardware Security): The Biometric App Lock utilizes the device’s built-in Android OS Biometric API. Biometric credentials (fingerprints/face scans) are processed locally on the user's hardware and are NEVER transmitted, accessed, or stored on MEEZANOX servers.
Storage & Camera Permission: Required across panels to upload profile pictures, Notice Board media, assignment PDFs, grievance evidence, and to generate downloadable Digital ID Cards and Mark-sheets.
4. FINANCIAL TRANSACTIONS & DIGITAL KHATA SECURITY
Financial Ledger Data: We process fee invoices, pending dues, paid statuses, and UPI UTR (Unique Transaction Reference) numbers for manual verification via our Digital Khata engine. MEEZANOX does not process direct automated bank debits or store sensitive credit/debit card details.
UPI Integration: Fee payments are routed exclusively through secure, third-party UPI applications (e.g., Google Pay, PhonePe, Paytm, BHIM) installed on the parent's device.
Anti-Fraud System (Eagle Sensor 5.0): Our proprietary verification logic monitors transaction receipts and UTR numbers to prevent duplicate or fraudulent fee entries.
5. HOW WE USE YOUR INFORMATION
We operate under a strict Zero-Ads Policy. Your data is exclusively utilized to:
Authenticate logins securely via Google Firebase Realtime Database architecture.
Process and verify fee payments, HR payroll, and academic mark-sheets.
Ensure student safety via Live Bus Tracking and instant Emergency SOS Alerts.
Send targeted push notifications for homework, fee approvals, and route alerts.
Facilitate secure, two-way Grievance & Complaint management.
6. DATA SHARING & SUB-PROCESSOR DISCLOSURE
MEEZANOX Enterprises enforces a strict No-Sell Policy. We DO NOT sell, rent, or trade student, staff, or institutional data to advertisers or data brokers.
Internal Isolation: Data is accessible only to authorized users within your specific Institution through strict Role-Based Access Control (RBAC).
Infrastructure Sub-Processors: We utilize enterprise-grade cloud services provided by Google Cloud / Firebase (AWS/Google India Region) for encrypted data storage, authentication, and database hosting.
7. CHILDREN'S PRIVACY (MINORS)
Because our platform serves educational institutions, data pertaining to minors (students under 18) is onboarded exclusively by authorized School/Coaching Administrators or Parents. We do not knowingly collect personal data directly from minors without institutional/parental consent.
8. DATA SECURITY, RETENTION & ACCOUNT DELETION
Security: We employ advanced database security rules (Blind Folder Strategy) and structural SSL/TLS encryption on cloud servers to prevent cross-institution data leaks.
Data Retention: Data is retained only as long as the Institution's SaaS subscription remains active. Upon contract termination, all associated institutional, financial, and student data is permanently wiped from active servers within 30 days.
User Rights & Account Deletion (DPDP Act 2023): Users have the right to access, correct, or request deletion of their data. Account deletion or modification requests can be submitted via the in-app "Lodge Complaint" module or through our public web portal at https://www.meezanox.com.
