Welcome to the MEEZANOX Smart School ERP application ("App"). This Privacy Policy explains how MEEZANOX Enterprises ("we," "us," or "our") collects, uses, shares, and protects the personal information of our users, including School Administrators, Teachers, Parents, Students, and Transport Drivers. We are committed to ensuring the highest standards of data privacy, financial security, and operational transparency.
1. SCOPE OF SERVICES & ROLES
Our App provides a highly secure B2B (Business-to-Business) Software as a Service (SaaS) platform for educational institutions. In this ecosystem, the subscribing School acts as the Data Fiduciary (Data Controller), and MEEZANOX acts strictly as the Data Processor. User accounts, access roles, and permissions are exclusively managed and granted by the respective School Administration.
2. INFORMATION WE COLLECT
To provide a seamless and secure experience across our multi-panel ecosystem, we collect specific data points based on the user's role:
Students & Parents: Name, roll number, admission details, fee payment records (Digital Khata), daily attendance, homework tracking, leave requests, live poll responses, and academic results.
Teachers & Staff: Name, staff ID, contact information, class/subject assignments, attendance, HR & Payroll records, and leave applications.
Transport Drivers (Crucial for GPS Tracking): Name, contact number, assigned route ID, and real-time geographic location.
Device & System Information: Non-personal analytical data such as device OS, app version, and crash logs to maintain our high-performance infrastructure.
3. EXPLICIT PERMISSION USAGE (Prominent Disclosure)
The App requests the following sensitive device permissions strictly for core functionalities:
Background Location (Driver Panel Only): We collect and process real-time location data in the background only when a designated Driver actively presses the "Start Trip" button. This data is strictly used to broadcast live school bus positions and SOS Emergency Alerts to authorized parents for child safety. Tracking terminates instantly when the driver ends the trip. Location data is never used for advertising or shared with unauthorized third parties.
Storage / Camera Permission: Required across user panels to upload profile pictures, Notice Board media, PDF assignments, Grievance/Complaint evidence, and to utilize our advanced PDF Engine for generating Digital ID Cards and Mark-sheets.
4. FINANCIAL TRANSACTIONS & DIGITAL KHATA SECURITY
We employ enterprise-grade security for all fee-related functionalities:
Financial & Ledger Data: We process fee invoices, payment statuses, and UTR (Unique Transaction Reference) numbers for manual verification via our Digital Khata engine. MEEZANOX does not process direct bank deductions or store credit/debit card details.
UPI Integration (VIP Chooser): Fee payments are routed exclusively through secure, third-party UPI applications (e.g., GPay, PhonePe, Paytm, BHIM) as customized by the School Admin.
Anti-Fraud System (Eagle Sensor 5.0): Our proprietary verification engine strictly monitors transaction receipts and UTR numbers to prevent fraudulent payment entries.
5. HOW WE USE YOUR INFORMATION
We operate under a strict No-Ads policy. Your data is exclusively utilized to:
Authenticate logins securely via our custom Realtime Database architecture.
Process and verify fee payments, HR payroll, and academic reporting.
Generate automated PDF documents (Results, ID Cards, Master Reports).
Ensure student safety via Live Bus Tracking and one-touch SOS Alerts.
Send targeted Push Notifications (e.g., class-specific homework alerts, fee approvals, and route-specific bus alerts) without spamming the general user base.
Manage institutional communication via Notice Boards and Live Opinion Polls.
Facilitate secure, two-way Grievance & Complaint management.
6. DATA SHARING & THIRD PARTIES
MEEZANOX Enterprises enforces a strict No-Sell policy. We DO NOT sell, rent, or trade student, staff, or school data to any third-party advertisers, data brokers, or marketing agencies. Data is only accessible to authorized users within your specific School ecosystem through strict Role-Based Access Control (RBAC).
7. DATA SECURITY & RETENTION
Security: We employ advanced database security rules (Blind Folder Strategy) and structural encryption on enterprise-grade cloud infrastructure (Firebase) to prevent unauthorized data access or cross-school data leaks.
Retention: Data is retained only as long as the School's SaaS subscription is active. Upon termination of the contract, all associated school, financial, and student data is permanently and securely wiped from our active servers within 30 days.
8. USER RIGHTS (DPDP Act 2023 Compliance)
Under the Digital Personal Data Protection (DPDP) Act, users have the right to access, correct, or request the deletion of their personal data. Because MEEZANOX acts solely as the Data Processor, parents, teachers, and drivers must submit any data modification, grievance, or account deletion requests directly to their respective School Administration through the in-app "Lodge Complaint" module or school office.
